The holiday list

Time: a minute to read it, five minutes for the yearly clean-up.

Open Tools › Hours & holidays. The Holidays panel lists every holiday on your 3CX. Identical entries on several lists are shown as one row. The line under the heading sums it up: 14 holidays, 9 stale.

The columns

ColumnWhat it shows
NameThe name as it is in 3CX. A Stale tag marks a one-off holiday that has already ended; the row is greyed and the name struck through.
WhenThe date. A range when it spans days (15.7.2023 to 30.7.2023). Every-year holidays show month and day (24 Dec) with an Every year chip. Times are added when the holiday does not cover the whole day (24 Dec, 12:00 – 23:59).
NextThe next date the holiday applies, in the phone system’s calendar. Past for a stale one.
PromptThe audio file callers hear during the holiday, or No prompt (the department’s normal holiday prompt plays).
ListsOn every list, or On 2 of 9 lists. Hover the chip to see which lists have it.

Order: upcoming holidays first, soonest at the top; stale ones last, newest first.

Dates are the phone system’s dates, formatted for your language.

Look at one list

The dropdown above the table switches between All lists, Whole phone system and each department. Pick a department to see its list exactly as 3CX routes on it. The summary changes to 12 holidays on this list, 8 stale, and the Lists column shows that one list.

Most of the time you want All lists: that is where you see what is missing where.

When a holiday is missing somewhere

A row that says On 8 of 9 lists means one list lacks it. Callers to that department get through on that day.

Click Add to all on the row. The holiday is copied, exactly as it is, to every list that does not have it. The row changes to On every list and the message tells you how many lists were added.

Nothing happens on lists that already have it.

Stale holidays

A stale holiday is a one-off whose end date is in the past. It does no harm, it just clutters the list, and it hides the ones that matter. Every-year holidays are never stale.

The summary line counts them, and each department tile in Right now shows its own count (14 holidays, 9 stale).

Remove stale

The Remove stale button appears when there is something to remove.

  1. Click Remove stale. Nothing is removed yet.
  2. A dialog lists every stale holiday with its dates and how many lists it sits on, and sums it up: 9 holidays, 81 copies across the lists.
  3. Read the list. If something on it should stay (a past closure you plan to reuse), press Cancel and delete the others one by one instead, or change that holiday’s date first.
  4. Press Remove 9 holidays.

The entries are removed from every list that has them. Every-year holidays are never touched, and neither is anything with a date today or in the future.

With a department selected in the filter, Remove stale only cleans that list.

Good to know

  • 3CX evaluates holidays in the phone system’s local time. The dates you see are its dates.
  • A holiday with times, say 12:00 to 23:59, leaves the department open in the morning.
  • Holidays win over weekly office hours. A Close now override wins over both.
  • Every change is written to 3CX at once. There is no publish step and no undo; deleted entries have to be added again.
